How HubSpot integrations actually work

Every HubSpot integration moves data between HubSpot and another system through one of three routes: a native app from the HubSpot App Marketplace, a middleware platform such as Zapier, Make, or n8n, or a custom build against HubSpot's REST APIs. The right route is not a matter of preference. It is determined by which objects need to sync, how much data moves per day, and how much custom logic sits between the two systems.

Native apps are prebuilt connectors maintained by HubSpot or the tool vendor. They install in minutes, cost nothing beyond your existing subscriptions, and handle standard objects well: contacts, companies, deals, and tickets. Their weakness is rigidity. Most native connectors cannot see custom objects, cannot apply conditional logic to field mapping, and give you little control when a sync conflict occurs.

Middleware platforms sit between the two systems and pass records through automation recipes. They are fast to deploy and flexible, but they bill per task, add latency, and become fragile at volume. A workflow that costs a few dollars a month at 100 records can become expensive and unreliable at 100,000.
